ULTRAMARATHON TERMS OF ENTRY AND LIABILITY WAIVER (“Terms”)
These Terms of Entry and Liability Waiver apply to all ultramarathon distance events that are listed on the GB Ultras website www.gbultras.com.
“Event Organiser”, “Organiser” GB Ultras – the operating name of GB Ultras Ltd, Enfield Villa, Tweedsmuir Close, Cinnamon Brow, Warrington, Cheshire, WA2 0EL
For the purpose of these Terms the “Participant” is the person submitting the Entry Form for the Event.
- Eligibility
- Minimum age: Participant must be at least 20 years old on the day of the Event. This is to comply with Rule T3 (141) S5 UKA Trail Running Regulations. Organiser is affiliated to UKA Trail Running and unless otherwise indicated their Regulations (https://tra-uk.org/) shall apply to this Event unless expressly varied in these Terms.
- Prior experience: Participant must have successfully completed or similar endurance event and any additional criteria specified in the section and in submitting their entry warrant that they have done so.
- Organiser may request that proof of age and experience be supplied by Participant prior to Entry being accepted or prior to the Event. If proof is not provided in a timely manner prior to the Event, the Entry may be cancelled, and the Entry Fee shall be refunded less a reasonable sum to cover administration costs at the Organiser’s discretion.
- Entry & Registration
- In accessing the website https://www.gbultras.com/ (“Website”) to submit an Entry the Participant agrees to the application of the Website Terms and Conditions https://www.gbultras.com/websiteterms, the Privacy Policy https://www.gbultras.com/privacypolicy and the Cookies Policy https://www.gbultras.coom/cookiepolicy.
- By submitting an entry Participant agrees to abide by these Terms including the jurisdiction of the Organiser as set out in these Terms.
- Race entries can be transferred to other individuals who meet the qualification criteria for the event. Transfer requests must be received no later than 3 weeks prior to race day. An administration fee is also payable to facilitate the transfer. A Participant found to have sold their entry onto another Participant after the permitted transfer timescale (3 weeks prior to the race), and deciding to run in another’s name, will be in breach of the terms of entry and will be liable to immediate disqualification.
- Participant may defer their entry to another Event provided the request is received no later than 8 weeks prior to race day and a reasonable administration fee is payable to facilitate the transfer. Further a Participant may defer their entry should Participant wish to do so due to pregnancy. The pregnancy policy is details on the each of the dedicated race pages of our website.
- Entries submitted later than 14 days before the Event shall be accepted only at the discretion of the Organiser.
- The Organiser reserves the right to refuse entry for safety or compliance reasons or any other reason that does not infringe your legal rights or the applicable law. If entry is refused prior to the Event for any reason other than non-compliance with these Terms by the Participant a refund of the Entry Fee will be .
- Participant understands that at registration, Organiser may request photographic identification. Participant understands that identity and eligibility checks may be undertaken to ensure compliance with these Terms pursuant to the Privacy .
- Participant’s completion and submission of the online Entry Form, commits the Participant to paying the Event Entry Fee via the means as instructed on the GB Ultras Ltd website.
- Health & Fitness Declaration
- Participant understands the full nature of an Ultra-Marathon. That an Ultra-Marathon involves running throughout the day and well into the night at times with limited rest over challenging terrain with inherent risks of changing weather conditions. Each Participant understands that it is their responsibility to adequately train for the event and monitor their own health throughout and are ultimately responsible for their own safety. Participant acknowledges that their safety depends on their own skills and abilities and these have been gained from other events placing them in good stead to take on the mental and physical challenges of an Ultra-Marathon race generally.
- Participant therefore warrants that they understand participation in the Event is physically strenuous and demanding and they are fully aware of all associated medical and physical risks involved. Participant warrants they are physically capable of competing in the Event and will only compete if on the day of the Event they are to do so.
- Participant confirms they have scoped the course for the particular Ultra-Marathon they are entering as well as the anticipated weather and other climactic conditions in determining their capability of completing the Event. Participant acknowledges the Event may occur in extreme or unpredictable weather conditions that can change rapidly.
- Medical Support and Withdrawal Policy
- Participant must disclose any medical condition(s) (including allergies) and medication, the Event Organisers or Event medical advisors might need to be aware of, Participant will provide details of this on the Entry form, and will also provide written details of this on the rear of their pin-on numbers prior to their participation in the Event. This information will be added to the RaceResult site and shared with the Event medical advisors.
- Participant must update the Organiser immediately if their medical conditions change. Participant must take any required medication before the Event and carry any required medication during the Event.
- Participant confirms they are in good health with a good level of fitness to participate in this Event and understands that it is their responsibility to obtain medical clearance from a qualified healthcare professional to avoid doubt. Failure to secure appropriate clearance may increase the risk of serious injury or death, and the Participant accepts full responsibility for their health and safety
- Notwithstanding the Participant is primarily responsible for their own health and wellbeing the Organiser may arrange emergency medical treatment for the Participant and any related requirements relating to the Participant’s health if the Organiser shall deem it necessary. The Participant is providing informed consent to the Organiser taking such action by signing these Terms. If the Participant does not wish the Organiser to take such steps the burden lies with the Participant to communicate this informed refusal to the Organiser when submitting the Entry and to specify what steps the Participant does not expressly wish the Organiser to take and the legal and ethical grounds for that request. If no informed refusal is provided for a particular situation then, in addition to the express consent in these Terms, consent will be implied in emergency situations or if the Participant lacks decision making capacity.
- Organiser may remove Participant from the course for safety reasons at Organiser’s absolute discretion.
- Participants must notify the Organiser through Organiser’s Event on course support staff if withdrawing during the and hand over their bib number and tracker to the member of the event team
- Participant agrees to display their number at all times on the front during the . If a Participant arrives at a checkpoint not wearing their bib number on their front, they will not be permitted to proceed in the Event until they have moved the bib number to the front.
- Participant accepts full liability for any medical expenses incurred as a result of training for and/or participating in the Event.
- Mandatory Gear Compliance
- Participant must carry the Mandatory Kit, which has been communicated pre-Event, at all times during the Event. The Mandatory Kit is set out in section 6 and shall apply unless varied in the Entry Form or in writing by Organiser prior to the Event.
- The Organiser shall stipulate the Mandatory Kit for the Event as a consequence of a thorough risk assessment given . The Participant acknowledges these factors can change and so the Mandatory Kit requirements may change. The Participant acknowledges that the Organiser will stipulate any additional items of Mandatory Kit based on their assessment of the risks faced by the participants in taking part in the Event so as to mitigate the effects of potential hazardous events occurring during the Event.
- The Participant acknowledges that the Organiser may stipulate additional Mandatory Kit items for the Participant based on medical related declarations made by the Participant on the Entry Form however that shall be without prejudice to the Participant’s acceptance of risk in taking part in the Event. The Mandatory Kit items should be carried throughout the race. Although the brand and type may vary the item should be fit for purpose.
- It is also mandatory that the bib number must be worn on the front. If a Participant arrives at a checkpoint not wearing their bib number on their front, they will not permitted to proceed in the race until they have moved the bib number to the front.
- Mandatory Kit
The following is required for all ultramarathon events:
- Hydration system (minimum 1 litre capacity)
- Waterproof jacket with taped/sealed seams – minimum 10,000mm
- Long Sleeved Base Layer (this must separate from any base layer a participant is wearing at the start of the race and must be kept in a dry bag. The Base Layer is for use in an emergency only.
- Emergency foil blanket
- Whistle
- Fully charged mobile phone – this must be kept in a waterproof bag. The Race HQ mobile number must be saved as a Contract prior to race start.
- Headlamp with spare batteries. This must be at least 75 lumens
- Secondary headtorch. This must be at least 25 lumens. A mobile phone torch is not acceptable.
- GPS Tracker (supplied by Organiser)

- Refund & Cancellation Policy
- Cooling-Off Period
- Under the Consumer Contracts Regulations 2013, if Participant makes the Entry online, they have the right to cancel within 14 days of the booking and receive a refund.
- How to Cancel
- To cancel, Participant should email Organiser at events@gbultras.com with Participant’s name, event details, and booking reference.
- Refunds
- If Participant cancels within 14 days and before the Event service begins, Participant will receive a full refund.
- The Participant confirms they are aware the services start immediately (e.g., review of Participant’s eligibility to take part in the Event, access to Event materials or early benefits). In submitting the Entry Form, Participant agrees that Organiser shall commence providing the services immediately and that the service is fully completed if the Participant takes part in the Event. Accordingly for avoidance of doubt no refund shall be provided if Participant cancels after the Event has started.
- Accordingly, Organiser may deduct a proportionate amount for services already provided.
- Administration Costs
- Organiser does not charge arbitrary However, Organiser may deduct actual costs incurred (such as payment processing fees). Organiser calculates the administration fees for the processing of deferrals and transfer of places. The fee amount is variable depending on the event the Participant is currently registered in.
- After 14 Days
- Cancellations after the 14-day cooling-off period are non-refundable, unless the Event is cancelled by Organiser.
- Event Cancellation
- If the Event is cancelled by the Organiser, Participant will receive a full refund of the entry fee.
- Changes to Event
- The Entry Fee shall be refundable less a reasonable administration charge if the Event is significantly and the Participant confirms in writing they wish to withdraw in writing within 24 hours of the significant change being communicated to the Participant. Organiser will not normally provide a refund where reasonable and proportionate changes are made to the route (such as lower level routes) in the interests of Participant safety due to severe weather warnings.
- Entry Cancellation
- If Organiser cancel’s Participant’s entry due to non-compliance with these Terms the Participant acknowledges that the Organiser may retain 50% of the Entry Fee to cover the Organiser’s administrative costs. If the Organiser disqualifies the Participant or otherwise cancels the Participant’s entry on the day of the Event due to non-compliance with these Terms, including disqualification, the Participant acknowledges that the Organiser may retain 100% of the Entry Fee to cover the Organiser’s administrative costs
- Cooling-Off Period
- Event Modification & Force Majeure
- The Organiser may modify, postpone, or cancel the event due to a Force Majeure Event
- Organiser reserves the right to pause, divert, stop or amend the Event at any time due to any danger posed, including modifying the route.
- Organiser shall communicate any cancellation or modification of the Event prior to the Event commencing and shall use reasonable endeavours to communicate any cancellation or modification of the Event during the Event.
- Organiser will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under the Terms that is caused by a Force Majeure Event.
- A Force Majeure Event includes any act, event, non-happening, omission or accident beyond Organiser’s reasonable control and includes in particular (without limitation) the following: strikes, lock-outs or other industrial action; civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war; fire, explosion, major accident as defined in Regulation 2(1) of COMAH (Control of Major Accident Hazards), extreme weather, storm, flood, earthquake, subsidence, epidemic or other natural disaster; impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport; impossibility of the use of public or private telecommunications networks; the acts, decrees, legislation, regulations or restrictions of any government; pandemic or epidemic; instances of animal or bird infectious virus or disease where landowners or the Government close public rights of way to prevent the spread further, i.e Foot and Mouth disease. This also includes landowners closure of trails due to tree disease impacting public safety (risk of falling trees). Organiser will endeavour to work with landowners, local authorities, government officials and other 3rd parties.
- Weather Disclaimer
- Participants acknowledge the event may occur in extreme or unpredictable weather conditions.
- Anti-Doping Compliance
- Organiser does not currently impose an anti-doping policy in relation to its events however Organiser may impose anti-doping compliance regulations prior to the Event. If a policy is introduced Participant should not use prohibited substances or methods and breaches will result in immediate disqualification and reporting to relevant authorities.
- Organiser expects Participant and all participants to proceed in good faith in participating in the Event and so will not take substances or use any aids that give an unfair advantage.
- Environmental Responsibility
- Participant agrees to:
- Follow a leave-no-trace policy.
- Avoid littering or damaging the environment.
- Respect wildlife and local .
- Adhere to the applicable Countryside Code.
- Participant agrees to:
- Photo/Video Release and use of Name, Image and Likeness of Participant by Organiser
- Participant consents to the use of their image in photographs and video created by the Organiser or on behalf of the Organiser for promotional purposes of the Organiser and the Event without compensation.
- Participant video/pictures/interviews, posts and stories added to Organiser’s social media pages and sites including Organiser’s website, Facebook, Instagram, X, TikTok, YouTube must comply with the relevant platform rules and guidelines including regarding comments and sharing of the content which Organiser has no control over.
- Where Participant uploads content to Organiser’s social media pages and sites Participant accepts that the Organiser’s Website Terms and Conditions at https://www.gbultras.com/websiteterms and Privacy Policy at https://www.gbultras.com/privacypolicy shall apply.
- Participant irrevocably consent to their appearance in any media format, in relation to the publicity of the Event, and in future publicity and advertising of the Organiser & GB Race Tracker Ltd; provided that such use does not imply Participant’s direct endorsement of any official sponsor or suppliers of the Event.
- Participant agrees that Organiser may publish Participant’s Personal Information as part of the results of the Event and may pass such information to the governing body or any affiliated organisation for the purpose of insurance, licences or for publishing results either for the Event alone or combined with or compared to other events. Results may include (but not be limited to) name, date of birth, city and country reside in, any club affiliation, race times and age category. Participant consents that their details maybe passed onto Race Tracker Ltd and Race Tracker AS to ensure the smooth, safe and accurate running of the Tracking software. Participants’ details may also be passed onto 3rd parties via Live tracking so that the Event team as well as Participant’s family and friends and the general public can follow every entrant’s position during the Race.
- Participant hereby grants a non-irrevocable licence to the Organiser in perpetuity to use the Participant’s Name, Image and Likeness for the purpose of the rights granted in this clause 12 and otherwise in these Terms. This shall include the rights of the Organiser in content uploaded by the Participant on the Organiser’s social media pages and sites and any content featuring the Participant taken at the Event. Other than this licence the Participant and the Organiser shall retain their proprietary intellectual property rights.
- Participant will procure the consent of anyone in their Support Team, supporters, friends and family, to use of their Name Image and Likeness by the Organiser in any Photograph and Video materials produced by the Operator and its officers to ensure compliance with these Terms. Participant will make the aware of the provisions in the Privacy Policy regarding data collected relating to the Support Team.
- Insurance Requirement
- Whilst the Event Organisers take every care with the staging of the Event, Participant accept that they must make all reasonable precautions for the safeguarding of their person and of my property during their participation in this Event. Participant further acknowledges that personal accident and personal items insurance is their responsibility.
- Participant are recommended to hold personal accident and medical insurance covering ultra-distance events, including emergency .
- Liability & Indemnity
- Participant accepts that the Organiser, sponsors, race officials, medical advisers and any person involved in the organisation of this Event (“Exempt Entities”) are not liable for any injury or illness or resultant death that Participant may suffer as a result of their participation in the Event, whether prior to, during or subsequent to the Event unless caused by negligence or breach of statutory duty by the Exempt Entities . Participant enters the race entirely at their own risk. Participant renounces any rights and claims for damages that they may have against the Exempt Entities together with their officers, directors, shareholders, successors and assigns, (collectively, “Releases”) and release them from all liability to the Participant and his/her personal representatives, assigns, heirs, executors, and successors for loss(es), damage(s) and claims therefor on account of injury to Participant or his/her property or the resultant death of Participant, in connection with Participants involvement in the Event (“Losses”), and further covenants not to sue any of the aforementioned parties for such Losses except for negligence or breach of statutory duty or any other liability that cannot be legally excluded.
- Participant agrees to indemnify the organiser against claims arising from their actions.
- Data Protection
- Personal data will be processed in compliance with applicable data protection legislation for event administration and safety purposes and in accordance with the Privacy Policy https://www.gbultras.com/privacypolicy.
- Safety and Conduct Rules
- Any refusal to comply with these Safety and Conduct Rules shall be regarded as a Disciplinary matter to be dealt with under the Disciplinary process below.
- If Participant has failed to provide photographic identification where required or fails to answer legitimate questions to confirm their identity they will not be permitted to start the race.
- Participant acknowledges that their pin-on number is personal to them and should be worn on front of clothing at all times . It is non-transferable unless the entry has been transferred in accordance with these terms.
- Participant agrees to retire immediately from the Event if ordered to do so by the Organiser, anyone acting on behalf of the Organiser, any government official or member of the emergency services.
- Participant understands and agrees that they must rely on their own ability in dealing with all hazards, and that they must conduct themselves in a manner that is safe for themselves and all others throughout the duration of the Event.
- Participant accepts that the function of the marshals appointed by the Organiser is only to indicate direction and compliance with any directives issued by the Organiser and that the Participant must decide for themselves if the movement is safe, i.e. road crossing, slippy conditions, etc.
- Participant accepts that, in relation to their participation in this Event, they are required to obey instructions from marshals appointed by Organiser and relevant signage before, during and after the Event.
- Participant is aware that the Organisers introduce cut off times for completion of sections of the course as they see fit, to ensure safe and proper running of the Event. These will be made clear prior to the race. These cut off times may be imposed or varied on the Event day as relevant conditions including weather may influence them. Participant may be instructed to withdraw from the Event in accordance with the imposed cut off times.
- Organiser may disqualify a Participant where the Participant has confirmed that they have taken a deliberate short-cut of the race route to gain an advantage over other .
- Failure to comply with the Mandatory Kit requirements could result in time penalties or disqualification. If a Participant fails kit check at registration or during the race they will not be allowed to compete further until they demonstrate full compliance to the Mandatory Kit list. If a Participant fails a random Mandatory Kit check during the event they can be immediately disqualified by the Organiser’s Race Director, Race HQ or by Senior Checkpoint Leaders if the breach can be deemed to have a detrimental impact to their own wellbeing and ongoing safety, and that there is an increased risk posed to their own safety if they were permitted to continue in the event further without the said mandatory kit item. Decisions will take into account the safety of others should there be an emergency arising based on the dynamic and fluid nature of the event and conditions at the time. It is the judgement and decision of the Race Director, Race HQ or Senior Checkpoint Leader to decide on the seriousness of the breach. A time penalty can be added as an alternative (a minimum of 15 minutes added to the Participant’s race time per missing item) unless the Participant decides to head back to the Checkpoint to obtain the ‘Mandatory Kit’ item. If 3 items of the Mandatory Kit are missing then the Participant will be disqualified.
- Organiser may impose a time penalty to a Participant for accidental short-cut of the race route where an advantage can be seen to have been gained. This time penalty will be at the discretion of the Organiser taking into account the anticipated time the section should have taken to be completed.
- Should the Participant display a non-compliant, uncooperative, rude and/or inappropriate conduct, including during a Mandatory Kit check, Organiser reserves the right to issue a warning, a significant time penalty, or to disqualify the Participant.
- Should a GPS Tracker supplied to the Participant be damaged, lost or stolen then the Participant agrees to cover the cost of the tracker which is £150 + VAT per GPS tracker.
- Upon withdrawal or completion of the Event , Participant agrees to return the GPS tracker to the Organiser. If a GPS tracker is not returned to a dedicated Race Marshal at Organiser’s and the tracker is lost as a result, then the Participant will be charged £150 + VAT.
- Failure to comply with the Environmental Policy in clause 11 of these Terms may result in penalties or disqualification from the Event at the discretion of the Organiser. Where a Participant is found to be littering and this is deliberate and can be evidenced, Organiser reserves the right to issue a time penalty or disqualify the participant. This maybe actioned post-race.
- Participant will be immediately disqualified from the Event if found to have intentionally shortened the Event route.
- Participant must follow route markings, checkpoint procedures, and instructions from people acting on behalf of Organiser including Marshalls and officials.
- Participant agrees to conduct themselves in a sporting, professional and cautious manner during their participation in the Event and understand that they may be disqualified if they do not do so.
- Participant may not use or seek any outside assistance unless permitted by localised Event race rules. In localised and sensitive areas, identified pre-Event by Organiser, Support Crews, supporters and friends and family may impact the safety of other participants by attending set locations. These designated no-go areas may be added to during the Event to adapt due to new identified risks throughout the fluidity of the Event. The Organiser relies on the cooperation of Support Crews, supporters and friends and family not attending these locations. Where breaches of compliance occur and a support crew is identifiable (showing support for a particular P), risking the safety of the event at the sensitive (i.e. due to a road crossing or limited parking) location, ‘through non-compliance or having not been informed by their participant’, Organiser may treat either instance as a breach of these Safety and Conduct Rules and reserve the right to issue a 15 minute penalty for said non-compliance. Instances of continued non-compliance which may include inappropriate behaviour, abuse, swearing, being rude, uncooperative, etc, will be viewed as further grounds to issue an additional time penalty decided upon at the discretion of Organiser Race HQ which may include the disqualification of the Participant.
- Unless the Organiser introduces a local rule for a particular Event no support runner/pacer is permitted. Where Participant has a ,/pacer (who may be running, cycling or using other means) not signed up to the event, but clearly running beside and/or pacing the Participant, time penalties or disqualification may be applied by the Organiser.
- Participant agrees that the decision of the Organiser’s designated Race Director for the Event will be final in all circumstances occurring on the day of the Event in relation to matters relating to the application of the Safety and Conduct Rules in section 16 and no discussion will be entered into.
- Decision Process and Dispute Resolution in relation to these Terms
- Save as set out below, as stated in section 16 all decisions and rulings by the Organiser’s designated Race Director on the day of the Event are final and binding.
- The Organiser’s designated Race Director may refer any serious breach of these Terms to the Organiser for further consideration in relation to Participant’s entry into future events.
- The Organiser reserves the right to ban the Participant from entering future Events for serious breach of these Terms. The grounds may include matters coming to the Organiser’s attention after the Event has taken place.
- The Organiser shall communicate this ban in writing to the Participant.
- If the Participant wishes to challenge any application of these Terms by the Organiser they should do so in writing addressed to info@gbultras.com within 48 hours of the event or act that they wish to challenge. The challenge must state:
- The decision being contested;
- The reason(s) why the Participant believes the decision is incorrect or unfair; and
- Any supporting evidence.
The reasons should include any grounds that the original decision breached natural justice and/or exceeded the powers of the Organiser under these Terms and/or breached any applicable law or sporting regulations.
- The Organiser will review the challenge, considering all evidence. A different staff member (not the original decision-maker) will handle the review where possible. The Organiser will provide a written response with the final decision within 96 hours of the challenge being lodged. This decision will be binding on the Organiser.
- If the Event is being conducted as a co-sanctioned event with another regulatory body an alternative dispute resolution procedure may apply which the Organiser shall communicate to the Participant in the event the Participant wishes to make a challenge.
- Governing Law
These Terms of Entry are governed by the laws of England and Wales.
- Miscellaneous
The Event Organisers reserve the right to vary these conditions by giving notice to in writing in any official Event material or correspondence prior to the Event.
